the team

The position of Document Controller sits alongside the architectural team as a whole, reporting directly to shedkm’s Technical Director.

the role

The Document Controller will manage all project-related documents and information flows, ensuring accurate version control, secure storage, timely distribution, and compliant archiving. The role requires strong organisational skills, excellent communication, and proficiency with document management systems. You’ll work closely with project managers, architects, engineers, and external consultants to maintain clean, up-to-date documentation for multiple concurrent projects using internal and external tools to monitor and track workflows and revisions.

Below are the main aspects of the role:

key responsibilities

  • Manage and maintain the project document control system (electronic and, where applicable, physical) and ensure consistent filing, naming conventions, and metadata.
  • Control issue, revision, distribution, and retrieval of all project documents (drawings, specifications, reports, submittals, RFIs, transmittals, contracts, correspondence, meeting minutes, etc).
  • Maintain and regularly update drawing issue registers and revision logs; ensure all stakeholders have access to the latest versions.
  • Create, distribute, track, manage and archive transmittals and correspondence ensuring timely submission of responses; log and monitor RFIs and responses.
  • Support BIM/workflow processes where applicable, ensuring alignment between documents and models (e.g., link drawings to model views, coordinate with BIM team).
  • Ensure compliance with internal QA processes and any client or contractual document control requirements (e.g. ISO 9001, ISO 19650 and project-specific procedures).
  • Manage version control for all documents and ensure secure access permissions; monitor for duplicates or discrepancies.
  • Scan, index, classify, and archive project documents (electronic and physical) for long-term retrieval; ensure data protection and confidentiality.
  • Produce routine reports (document status, drawing registers, submittal log, RFI log) for project meetings and client updates.
  • Support project teams during tender, design development, construction, and close-out phases.
  • Collaborate with IT/Systems to maintain Document Management System (DMS) setup, user access, and backups.
  • Train and support project staff and external consultants on document control processes and tools.
  • Manage internal document templates across the practice to ensure the latest versions are coordinated with the Technical and Comms teams and monitor implementation.

required qualifications and experience

  • Degree in Information Management, Library/Archive Studies, Architecture, Engineering, Construction Management, or equivalent practical experience.
  • Basic understanding of architectural drawing sets, CAD/BIM formats (PDFs, DWG, RVT).
  • Familiarity with construction contract documents, submittals, RFIs, and drawing/package coordination.
  • Minimum 2-4 years of document control experience in architectural, engineering, or construction environments.
  • Strong working knowledge of document management systems (e.g. Procore, Aconex, BIM 360, SharePoint) and standard office software (Microsoft 365, Excel, Outlook).
  • Excellent organisational skills with meticulous attention to detail and a methodical, process-driven approach.
  • Proficient in handling large volumes of documents with strict version control and archiving requirements.
  • Effective written and verbal communication; able to work cross-functionally with designers, engineers, contractors, and clients.
  • Ability to work under tight deadlines, manage priorities, and maintain calm under pressure.

desirable qualifications and experienceting

  • Experience in BIM-enabled environments and integration between DMS and model workflows.
  • Knowledge of QA/QC frameworks (e.g., ISO 9001) and project documentation standards.
  • Training or certification in document control or information management (e.g., Certified Document Controller or equivalent).
  • Experience with additional DMS tools (e.g., Viewpoint, Bluebeam, ProjectWise, Power BI) is a plus.

package

  • Full-time, 5 days a week, 09:00 to 17:30
  • Based in either our Liverpool or London studio
  • Annual leave of 20 days, plus 5 working days for practice wide Christmas closure, plus public holidays. In addition we offer your birthday off, plus 1 volunteering day, plus option of 1 day for practicing religious festivals not covered by UK public holidays e.g. Diwali, Eid, Yom Kippur
